Enhanced Small Group model designed around your needs
As we communicated in late February, we’ve expanded our Small Group model to support clients with up to 200* enrolled employees. Our commitment to our broker partners remains the same – providing you with a seamless experience, competitive solutions, and the support you need to win and retain business.

April 3: Small Group teams begin to support groups with up to *200 enrolled employees, even if they have not transitioned to Small Group. **
July 1: Existing clients will be renewed into Small Group beginning with 7/1 renewal dates. Any quotes for 7/1 effective dates forward will be submitted through the Small Group process.

Our Model
You’ve told us what you need and the longstanding Small Group model is built with those key priorities in mind:
- Dedicated Sales Executives & Account Managers to work with you on selling and renewing business. You’ll have a dedicated representative for quoting/sold and renewals who will be partnering with you and your agency. This partnership ensures you have a strategic contact focused on growth, product solutions and support.
- Faster quoting timelines so you can respond to clients quickly. On average, you’ll have a proposal back in 3-4 days for complete submissions.***
- Expanded access to product solutions by offering a portfolio of approximately 190 plans that are designed to meet the diverse needs of your client. These options will help you match the right offering to each client’s needs.
- Enhanced broker support model. In addition to your dedicated Account Manager, you’ll have the support of the Aetna Answer Team. This service team works with you and your clients, supporting enrollment and billing needs, platform questions and support, group level changes and much more. This team will replace individual contacts you may have worked with previously while connecting you to a dedicated team of knowledgeable specialists who understand the details of each function, reducing handoffs and helping resolve issues quickly and efficiently.

We’ll need the following to quote your client with 101-200 enrolled:
- Current renewal
- Current plan design or benefit summaries
- Large claims report with claim data (minimum 12 months with 7 months of current policy)
- Full member level census (employees and dependents)
To ensure we get the information we need, use our quote cover sheet to eliminate back and forth for missing information.
Once your quote request is submitted, you’ll work with your Small Group sales executive throughout the sales process. Our sales process is very simple – you’ll complete the sales notice and submit your group to smallgroupsold@aetna.com
Your sales executive will support you throughout this process.

Transitioning your clients to the Small Group model
As we transition to this new service model, brokers may work with different Account Managers, although for some your contacts will remain the same. Our priority remains providing consistent, responsive support for you and your clients.
Your Account Manager will make outreach to you beginning the week of March 16th and will be able to answer any questions that you may have about the transition. As of April 3, 2026, if you have any service needs for groups with 101-200 enrolled, such as billing, enrollment, group level changes, please contact the Aetna Answer team at (833) 840-0237 or you can email them at NEaat@aetna.com

*Starting 7/1 effective dates, Aetna will no longer offer new business medical plan options to groups with 101-200 enrolled in Alabama, Arkansas, Hawaii, Indiana, Montana, North Dakota, New Hampshire, New Mexico, South Dakota, and Vermont headquarter states.
**Groups will transition as of their renewal date beginning with 7/1/2026. Your Small Group Account Manager will provide you details on groups that will be transitioning.
***RFPs submitted without required quoting information will be pended and outreach made. On average, proposals are returned within 3-4 days once all information is received.
****Groups headquartered in New York and California will not be able to use Aetna Sales Gateway initially. Please submit all RFPs through the mailbox.
