Portal User Administration - The Power To Do More
 
Next Phase of Portal Security Starts March 4
 
In today’s technology-fueled world, it’s up to all of us to secure online data. Together, we’re taking another step in that direction.

Beginning March 4, we’ll continue our next phase in portal security: identifying existing third-party vendors listed as users on the agency portal. As a portal administrator, your role is important, and we’ll rely on your support to accomplish this key cyber-security step.
 
Two-Step User Identification Launch
Step One: New User Identification Began December 2023
Since December, you’ve been identifying new users as you add them to the portal as either an agency employee or a third-party vendor, helping us understand who is on the portal and what their role is. Thank you for your ongoing efforts to implement this important security step.
 
Step Two: Existing User Identification Starts March 4
Starting March 4, we’ll extend user security measures so that you can begin identifying existing third-party vendor users and entering associated information about them. As you look through your list of portal users, follow a few guidelines to successfully label them: 
  • Look over your full list of portal users and hone in on any third-party vendor users.
    • Third-party vendor users include firms you contract with to assist with portal tasks, including handling accounting or customer support.
    • Third-party vendor users do not include your regular agency employees or any employees for whom your agency supplies workstations, laptops and network and security access.
  • Use the Edit User tool to label any third-party vendor users as such and enter their country of access where indicated.
    • While many third-party vendors are headquartered in the United States, their employees may be located elsewhere. Please make sure to enter the country where the vendor’s employees are located.
 
 
  • Revisit your third-party vendor users’ statuses every six months.
    • Use the Edit User tool to recertify your third-party vendors twice a year. You’ll receive a reminder as the vendor’s automatic and rolling six-month End-Access Date approaches. 
 
 
Additional Field To Identify Bots
 
Starting March 4, you’ll see a new Robotic Process Automation field when adding new users or editing users. Check the RPA field when the user is operated by robotic process automation – also known as bots – so that we can gauge the level of bot activity on the agency portal.
