AEP is well underway and we wanted to share some helpful reminders.

VBE for Paper Applications

When submitting a paper enrollment application, the VBE must still be processed through the standalone Ascend link. The Ascend VBE platform requires an Enrollment ID. Input the word PAPER in this spot. See below.

Barcode - WellCare Personalized Paper Application Page:

The personalized paper application page for faxed WellCare applications includes a barcode that will connect the application to your record, and confirmation of receipt will be emailed directly to you at the email address on file.

Key Points to Know:

  • The barcode page is for WellCare health plans only.
  • The barcode is linked to your WellCare Plan Producer ID (PID) and certification status.
  • The barcode page must be submitted as the LAST PAGE of each individual paper application submission faxed.
  • WARNING! - Only submit one application per fax.
  • Within five minutes of the completed fax transmission, an auto-generated email will be sent directly to you at the email address on file.
  • If the barcode page is NOT USED or is NOT the LAST PAGE of the fax, application status cannot be provided until the application is visible in the Application Search Tool within Agent Connect.

To request a copy of your barcode, personalized paper application page, please contact Agent Support via a ticket within your Agent Connect portal, accessible through Single Sign-On, or by calling: 866-822-1339.

Enrollment Reminders to Reduce RFIs

With the first week complete, we would like to pass along the following enrollment application reminders. Remember, the cleaner the application, the faster the processing – Unnecessary RFIs and denied applications can be avoided.

  • Be sure to complete the entire application
  • The Medicare Beneficiary Identifier (MBI) should be used, not the legacy HICN/Medicare ID.
  • The beneficiary's current and accurate residential address must be provided, including city, state, and zip code.
  • The beneficiary's current and accurate phone number is required.
  • Provide Correct Agent/Broker ID
  • Pay special attention to PCP IDs and PWO options for premiums – these are drivers of member abrasion

Select a Primary Care Provider (PCP):

  • Be sure to select a valid primary care provider by using the appropriate Find a Provider (FAP) tool and entering a valid Provider ID.
  • If a Primary Care Provider is not selected or left blank, the member will be auto-assigned a PCP.
  • If a Provider ID entered cannot be validated, the member will be auto-assigned a PCP.

Select the Correct Plan:

  • Be sure that the plan checked on page 1 matches the plan written on last page; THEY MUST MATCH.
  • Only select one plan on page 1.
  • Plan code / name on last page takes precedent

Plan year determines which application to use

  • Be sure to use the correct application based on the plan year chosen. For example if the member's effective date is 11/1/2020 or 12/1/2020, then a 2020 application must be used.
  • If the member's start date is 1/1/2021, then a 2021 application must be used.

Applications submitted on the wrong version will be denied and will need to be rewritten in order for your member to receive coverage.

Dual Eligible/LIS SEP Reminders

Beneficiaries that are dual eligible, or qualify for Low Income Subsidy (LIS), can enroll on a quarterly basis for the first three quarters of the year. In the fourth quarter, beneficiaries must use the Medicare Annual Enrollment Period to select a plan with an effective date of 1/1/2021. Quarterly elections CANNOT be rolled over to the following quarter if unused.
