Best Practices

As we enter this year's Annual Enrollment Period, Highmark Senior Markets is committed to providing you with the guidance and resources you need for a successful AEP.  Read on for some of our select Best Practices, and look for more helpful hints and tips throughout AEP!
 
  

 



Application Submission

  • Applications may be submitted online through the Producer Portal, or via fax at 1-888-663-0258.
  • Please note that you should only submit an application through one channel. Please do not submit an application online and also fax it. This will cause delays in processing.
  • If you submit an application online through the Portal, you can confirm the status by selecting "Check Application Status" once logged in. Alternately, if you fax an application, visit medicare.highmark.com and select "Check Application Status" at the bottom of the web page.
  • We strongly suggest that you submit applications through the Producer Portal instead of faxing applications. We have limited resources in the office this year, and we may see processing delays of faxed applications.

 

 

 

 



Scope of Appointment Form

  • In all sales situations, you are required to capture a Scope of Appointment (SOA.) You are not required to submit an SOA with an application but you must retain a copy per CMS' record retention guidelines.
  • We recommend mailing an SOA to the client in advance of your sales consultations and have them returned directly to you. 
  • CMS expects SOAs to be collected 48 hours prior to the appointment when possible.
  • Beneficiaries must agree to the purpose and products to be discussed in the appointment and that agreement must be documented in writing by using the SOA.
  • You should require that a beneficiary signs a new SOA if they want to discuss another product not agreed to for the initial appointment.
  • If a beneficiary is interested in changing plans, obtain an SOA for both existing and new members.

Ordering Enrollment Kits

Enrollment Kits can be ordered on ShopPRO, accessed through the Producer Portal.

  • Phone Number: 1-866-673-9112
  • Once you have completed a phone consultation with the prospect and the prospect is ready to complete the enrollment, you may conference call our dedicated enrollment line for the beneficiary to complete the enrollment telephonically. (The personnel staffing the enrollment line are unlicensed agents and will not be able to provide consultative assistance to you or the beneficiary. If the beneficiary has any plan specific questions, they will be directed to call their agent back to assist before completing the enrollment.)
  • Required Information: Please provide the agent your name and NPN, the beneficiaries’ name, and the plan they wish to enroll in. The agent staffing the line will then process the enrollment telephonically.
  • To ensure all applications are properly processed, you must send the beneficiary’s name, DOB, and selected plan to HighmarkSeniorMarkets@highmark.com.
