SEP opportunity may be available to Medicare beneficiaries impacted by the COVID-19 major disaster

CMS provides a special enrollment period (SEP) for individuals affected by a major disaster who need to enroll in, disenroll from or switch Medicare health or prescription drug plans and have missed another enrollment period due to the major disaster. For those who qualify, the SEP begins on the first day of the incident period and runs for four full months from the beginning of the incident period. Here's what you need to know.


Your new go-to resource for the latest COVID-19 information

Aetna is working with CMS and our clinical experts to offer our members the information, coverage and services they need. Please encourage your clients to visit aetnamedicare.com/coronavirus for the latest information. The site is updated daily. There, members can learn about telemedicine, extra benefits, facts about coronavirus, and Aetna resources to give them the support they need.


Encourage members to validate their email

The fastest way for us to communicate with members is through email. However, only about 25 percent of new Aetna Medicare members provide email addresses when they enroll with us. Please encourage clients to include email addresses with their enrollment forms. And urge existing clients to update their email preferences by going to aetnamedicare.com/coronavirus or calling Member Services using the number on their ID card. This will help ensure we can reach members quickly with information on timely topics such as telemedicine, extra benefits and other Aetna resources.


Policy update: You can now request PCP changes


Effective immediately, agents may now request Primary Care Physician (PCP) changes for members they represent. To request a PCP change, you must be the assigned broker for the member, and you must be able to fully authenticate the member by providing the member’s name, member ID, date of birth and address.

PCP changes will be completed by Member Services. You can find the Member Services number on your client’s member Id card. Or, you can call the Aetna Medicare Broker Services Department at 1-866-714-9301 and they will warm transfer you to the appropriate Member Services team.

Have you tried e-kits? They're easy to use

Do you have clients who want to move forward with enrollment, without having an agent enter their home? When you use e-kits, available through the Ascend Virtual Sales Office app, your clients can enroll in an Aetna Medicare (MA/MAPD) and SilverScript PDP product online -- and you'll be maintained as the writing agent. E-kits work with any laptop, and no special setup or training is required. All you need is access to the Ascend Virtual Sales Office app. To request access to the Ascend app, just fill out an Ascend app request form on Producer World. (Please note that it can take up to 2-7 days to process new user requests for Ascend.)

Log in to the Aetna Medicare Marketing Studio to see what's available. Consider using the "Call for an appointment" postcard, flyer or trifold to encourage your clients to learn more.


FYI: The SilverScript agent of record change form will be discontinued on April 1

Going forward, the process to change the agent of record for SilverScript PDP members will follow what is outlined in the Aetna Individual Medicare Producer Guide. The process will be the same for Aetna MA/MAPD and SilverScript PDP products. For more information, please see pages 84-89 of the Producer Guide.
