We recently became aware of an issue surrounding fax numbers in association with enrollment applications for Cigna MAPD customers which are being incorrectly faxed to the Cigna Supplement Unit as well as other Cigna areas. In past years, we included the Enrollment Form cover sheet within the Sales kit, which was subsequently removed in 2019 for the 2020 Sales kit. As a result, we have noticed agents faxing applications to incorrect numbers instead of using the Enrollment Form cover sheet. Unfortunately, these applications are not being delivered to the Cigna MAPD enrollment unit in a timely manner which could directly impact your customer effective dates. We are reconsidering our position to remove this document from our Sales kit, however in the mean time we would appreciate you ensuring your agents are aware of the correct fax numbers.

What does this mean to you:

• The delay in MAPD enrollments being received/processed in a timely manner may cause a customer not being enrolled for their requested effective date. This may also delay agency and agents receiving compensation payments for these enrollments.
• Applications sent to the incorrect fax number could result in potential TOA violations for the agents.

Faxing Instructions

• All paper applications must be faxed to Cigna and must have the Cigna Enrollment Form cover sheet as the first page.
• Fax your applications within the first 24 – 48 hours to prevent delays to ensure compliance.
• When faxing several applications at one time, please include a cover sheet as the first page of each application. For example: If two sales are made for a husband and wife, we need a fax cover sheet with the husband’s application, and a fax cover sheet for the wife’s application even if they are faxed together.
• If you send in three applications at once, make sure you include three cover sheets, one on top of each application.
• Do not make copies of the fax cover sheet as the barcode becomes distorted and the scanner at Instream cannot read it, which causes issues with the scanning process at Instream.
