You may have received an email recently, directly from Envision, in regards to the processing of new business. Below is an example of the email that has been sent out. Envision is requesting that ALL applications are processed online when possible. They have not outright banned faxing in applications (those of you who have been with us for a while know they did try to make that a requirement in the past, and it was quickly rescinded). That being said, they are HEAVILY requesting that faxing in an application is only done in a last resort scenario.

Agents can complete their enrollments online through their own broker portal at https://broker.envisionrxplus.com. If your downlines send apps in to you for your agency to process, you as the upline have the ability to enroll clients on behalf of your downline agents as well. I have attached directions here. If you have any questions, please let me know. Despite there not being an outright ban on faxed applications, we would like to start moving everyone towards the online enrollment process, for speed and accuracy. Thank you!

Example Email:

Dear Agents,

We have received faxed enrollment(s) from you instead of electronic enrollments.  We just wanted to  remind you that  Faxes are no longer acceptable to do on a daily basis unless previously approved by the plan after valid reason is provided. Broker has 72 hours after signature to submit the application electronically into the portal.

The benefits of electronic enrollments:

You get immediate confirmation we have your enrollment and it is already being sent over to CMS for approval.  This is the EIC# you will get after hitting submit

You can be assured your Broker name and writing number will be embedded in the enrollment, your name will not fall off as faxed enrollments do at times.

You can be assured you are the broker of record and will be getting compensated for the enrollment.

These enrollments did go through, but below are the directions to  ensure all of your enrollments will go through immediately.

Applications Submitted Electronically by Broker: Broker has either met in person with the enrollee or their power of attorney, or talked to them over the phone about their Prescription Drug Plan (PDP) options and the enrollee has chosen EnvisionRxPlus as their PDP plan.

  • Broker has collected the signed Scope of Appointment (SOA) and paper application in person or through the mail from the enrollee or their designee (SOA does not need to be signed 48 hours in advance).
  • If you are entering the application into the portal while present with the prospect and they are signing the application and submitting with you present, then a paper application is not needed, just the SOA.
  • For paper applications collected by the broker, the broker enters the application information through the envisionrxplus.com website by going to the Broker Tab and signing into the Broker Portal.  First time users need to use the Register Now feature.
  • Complete the application. Attest that you have the paper application (if applicable) and SOA (always).
  • Review the data fields for accuracy.
  • Submit
  • You will receive immediate confirmation with the member’s EnvisionRxPlus ID number and have the ability to print what you submitted.
  • Application will be sent to CMS for approval. Enrollment will be pending until CMS approves.
  • You will be able to track application status through the EnvisionRxPlus Broker Portal or the Callidus Cloud ICM system.
  • Do not Fax the SOA or the Paper Application to Envision. Keep in your records for auditing purposes for 10 years in accordance with CMS regulations.

If you are having problems setting up your Broker Portal account, please call Envision Agent Support at 844-348-9604  or email us at:  EnvisionAgentSupport@Envisionrx.com
