Preview & order 2018 AEP marketing materials on Studio

You can begin pre-ordering marketing materials (flyers, mailers, postcards, etc.) for the Annual Election Period on the Aetna Medicare Marketing Studio. Check out what's new. Please note that mail and print materials will be shipped starting September 30. If you request to download materials, please note that the download links won't work until October 1; they'll be activated on October 1.

 
 
 
 

2018 MA/MAPD sales presentations 

The 2018 MA/MAPD sales presentations are now available to download from Producer World. Starting October 1, you're required to use this CMS-approved presentation at all MA/MAPD sales events. Talking points are also provided to assist you, but please remember they are for agent-use only and can't be shared with beneficiaries.

Compliance Connection: Guidelines for assisting your clients prior to AEP

As you know, the Annual Election Period (AEP) runs from October 15 to December 7. The first day you can begin marketing 2018 plans is October 1. As a reminder, you must cease marketing 2017 products starting October 1 too, unless a beneficiary inquires specifically about 2017 plans. Before October 1, you’re prohibited from providing marketing materials to, or discussing 2018 plans or plan changes with, your existing clients or with prospects. Remember, you may give an enrollment application for CY2018 products starting on October 1 but you may NOT accept, collect or take possession of a completed AEP enrollment application prior to October 15.

Updated Scope of Appointment guidance

CMS updated Scope of Appointment (SOA) guidance in the 2018 Medicare Marketing Guidelines (MMG). The new MMG regulations go into effect with CY2018 marketing materials (e.g., October 1). Here's what you need to know.

  • Obtaining the SOA 48 hours in advance of an appointment is no longer a requirement.
  • All SOAs can now be signed prior to the start of your previously scheduled appointment.
  • SOAs are required for any one-on-one, face-to-face appointment held outside of an educational event, or a formal marketing/sales event.
  • All SOA guidelines remain in place.

Moratorium on hierarchy changes from October 1 to January 1

As a reminder, there is a moratorium on hierarchy changes from October 1 to January 1. This rule is in place so we can prioritize processing new contract requests submitted during AEP. This policy is on page 47 of the Aetna Medicare Producer Guide. If you need to make a hierarchy change, please make sure you submit your request through nomoreforms by September 30.


Make sure you use your NPN on all Medicare enrollments 

Don't forget, you now need to use your National Producer Number (NPN) when submitting enrollment applications for Aetna and Coventry Individual Medicare products (MA/MAPD, PDP). We've discontinued use of the Coventry Agent Writing Number (AWN).

 

Reminder: Coventry Broker Portal website is now closed  

If you used the Coventry Broker Portal website in the past, please start using Producer World instead. Producer World is your source for Aetna and Coventry Medicare product information, sales and marketing materials, as well as access to the Ascend app and to reports. Once you login to Producer World, go to the Individual Medicare page to find everything you need.

 

Don't forget, you MUST attend 2018 market-specific training (online or in person) if you plan to sell 2018 MA/MAPD

This training is required in addition to your annual certification. Just go to AetnaMedicareAgentTraining.com to sign up for a 2018 training. Remember, you need to complete a 2018 market-specific training for every state and market where you plan to sell our MA/MAPD products. Online and in-person training sessions are available. Review other requirements to ensure you're ready to sell for AEP
