Pre-order enrollment kits for 2018 MA/MAPD and PDP plans

If you’re “ready to sell” for 2018, you can now pre-order enrollment kits for 2018 Aetna and Coventry Individual Medicare plans (MA/MAPD, PDP). Through this pre-ordering opportunity, you can order an initial amount of kits for the early weeks of the Annual Enrollment Period (AEP). 

Monthly kit-ordering limits remain the same. Requests over the kit-ordering limit will require additional approvals from the Aetna market sales teams. Please know that requested quantities over the kit-ordering limit may be reduced upon review.   

Remember, per CMS requirements, agents may not solicit or accept enrollment forms for new enrollments or plan changes for 2018 prior to the beginning of the AEP on October 15, 2017. In addition, you’re not permitted to market or advertise 2018 plans/benefits until October 1, 2017.

Follow these instructions to pre-order enrollment kits

First, make sure you’re ready to sell for 2018. (Please wait at least 48 hours after becoming ready to sell to pre-order kits.) Also, make sure you order your kits following the instructions listed below. (If you try using a link you saved or bookmarked from last year, it may not work.)   Login to Producer World. Go to the Individual Medicare page, scroll down and then click “Order Enrollment Kits.”   Next, login to the enrollment kit-ordering site using your National Producer Number (NPN). Then follow prompts to order your materials.

When will you receive 2018 kits?

Initially, we hold all kit pre-orders we receive. Then in mid-September we begin processing them in the order received (“first in, first out”). The target delivery date for all pre-ordered 2018 kits is October 1 or sooner.

We encourage you to order your kits early to ensure you get them as quickly as possible. Note: You’ll receive an email notice when your order is shipped. Kits are shipped by UPS Ground. Overnight shipping and P.O. Box delivery are not available.

If you need additional 2017 kits to finish out the 2017 selling season, please order them soon, following the instructions listed above. Ordering them later in the year could cause delays. Thanks in advance for your cooperation with this guidance.

Use your NPN on all Medicare enrollments starting September 1

Starting September 1, you must use your National Producer Number (NPN) when submitting enrollment applications for Aetna and Coventry Individual Medicare products (MA/MAPD, PDP). We're discontinuing use of the Coventry Agent Writing Number (AWN). Even though 2017 Coventry enrollment forms reference the AWN, you must start using your NPN on those applications. 2018 enrollment forms will refer to NPN only. Don't forget, you MUST attend 2018 market-specific training (online or in person) if you plan to sell 2018 MA/MAPD

This training is required in addition to your annual certification. Just go to AetnaMedicareAgentTraining.com to sign up for a 2018 training. Remember, you need to complete a 2018 market-specific training for every state and market where you plan to sell our MA/MAPD products. Online and in-person training sessions are available.

Review your ready-to-sell requirements for the 2018 AEP

Before marketing or selling our 2018 MA/MAPD and PDP products, so you can help beneficiaries make informed decisions and qualify for commissions, you need to complete several requirements. All agents (new and returning) need to complete the 2018 annual certification process. This should be your first step. (New agents, be sure to complete certification before contracting.) Read more.
